As we head into the July 4th Holiday weekend I know a concern for many medical offices is 'will I be able to get software and hardware support when my vendor is closed?'

Bradford-Scott Data has two types of support options for your Practice Management System and your Electronic Health Records systems.  Included in your software and hardware maintenance agreements is the unlimited use of our Support Desk.  You can log a call with our receptionist and our support team's goal is to return your call in under 29 minutes.  You can feel free to use the support desk as much as you wish and the number of calls you can log is unlimited!

And for those questions that might come up while we aren't in the office, we offer a second option for support with our After Hours Pager service.   Simply log a call into our v-mail system and a technician will return your call within 45 minutes.

Much of what you hear today when looking for a Medical Software Billing System is software, software, software.  While picking the right software product is extremely important and finding a company with outstanding customer service ratings (Bradford-Scott consistently has Customer Satisfaction Survey scores over 9.3 for the last 5 years) is a must, don't forget about the Hardware component of the deal.

Many people think that they can go out and buy any piece of Hardware from Dell or pick something up from Best Buy and expect it to work perfectly with their EMR software or practice management system.  And in most cases those pieces of equipment work out of the box with no problems.   Until ... you have a problem.  Then what?

You could wait on the phone for hours talking to your Hardware Vendor in another country who knows nothing about the medical records system that you have installed in your office.   As they are loading new drivers or replacing controllers are they really concerned with the applications that are loaded on the system?

Posting Electronic Remittance in your Practice Management System

Maybe it is because I like convenience, or maybe it is because I'm lazy, but I like things that are automatic.  As a kid I had a friend whose parents had a car with automatic windows.  Push a button and the window went up.  Push a button and the windows went down.    And I had to spend my adolescent days hand cranking my parent's car window up and down with a little knob.  Talk about jealous!

So as I got older and made my own choices in life I looked for things that were automatic.  That includes my car windows, my thermostat in my house, online bill pay and one of my favorites - direct deposit.  So when I had the question of 'How does Electronic Remittance posting work?' I was more than happy to talk about this automatic wonder.

An Electronic Remittance Advice (ERA) is nothing more than an electronic EOB generated from the insurance company that your medical billing system can read from and write into your system (say it with me) automatically!

Typically you have to enroll your providers with payers to be able to send claims to them electronically.  Some payers like Medicare require that you do so.  While you are enrolling for electronic claims, be sure to enroll for ERAs.  Once this is complete the insurance company will send you an electronic posting file along with your electronic claims verification reports.  
With very minimal configuration from your Vendor you should be able to have your medical practice billing software automatically post that EOB information directly into your system with a push (or click) of a button. 

  • Payment and adjustments will be written into your system ... automatically!
  • Transfers to secondary insurances will take place ... automatically!
  • Reports will be available to make sure that you are in balance 
  • And if for some reason there is a payment that the system can't match to a charge, it will print out on an 'Exception Report' for you to manually look at.  There is no concern for something getting lost or a payment not getting posted.

A while back I helped a client start posting Indiana Medicare ERAs for the first time.  Her quote to me was, "That's it?  What used to take me hours to post payments manually took less than a minute!"

So if you are looking for a huge office time saver and possibly a way to reduce FTEs, consider posting Electronic Remittance into your Medical Billing System!

Ever get confused with the Healthcare Industry?  And I'm not talking about actually treating patients.  I'm sure that is plenty confusing.  I'm talking about medical billing, electronic scheduling, documenting EMR (or EHR ... take your pick).
 
Do you ever get caught up in the acronyms? EMR, EHR, ASP, CCHIT, HIPAA, PM.  I mean were these created for texting generation? LOL! :-)
Then throw in some buzz words around some of these terms like 'Web Based', 'Computerized' or 'Enterprise'.  Does any of that make sense?

I've actually heard someone say ... "I'm considering purchasing a computerized web based EMR that is CCHIT and then use an ASP for my HIPAA compliant billing instead of a stand alone PM.  Oh and I need to implement ASAP!"

Huh?  What was that?  You're doing what?

Adding to our Medical Billing Software Family

I'm just back from a great vacation hiking in the mountains of Colorado and Utah and I just found out about several new clients that have purchased our Practice Management System(PM) and Electronic Health Records (EHR) packages!

I guess if you miss a week you miss a lot around here.

The next step for these physician offices to begin their implementation of their Medical Office Billing Software will be for us to review the internal paperwork and then setup a Introduction call with the client where several things will be discussed:
  • An Introduction to Bradford-Scott Data Corporation
  • A Hardware Site Inspection
  • A Software Trainer visit to the office to learn the ins and outs of the practice
  • A Data Conversion Conference call
  • The Training Implementation Schedule including tentative 'Live Dates'
As long as the timetable fits into their busy schedules we should have these new clients trained and working on their new Heath Care Billing Systems and/or EHR Software by the end of the summer!

Time for some Time off!

National ParksWhile I enjoy my job here at Bradford-Scott Data Corp and working on Medical Office Billing Software and EMR systems I am ready for a break ... and that break comes this Sunday!

My wife and I are heading out on vacation this next week.  We are leaving 'Nap Town and flying to Denver.  From there we are renting a car and driving through the Rockies with lots of stops for hiking along the way.  After hitting 5 or 6 National Parks in Utah we'll eventually end up in Las Vegas to fly back to Indianapolis. 

So if I speak to you after I get back about medical insurance billing software and it sounds more like my head is still stuck in the mountains, I hope you'll understand.

During our Medical Software Custom Satisfaction Campaign that we do at Bradford-Scott Data Corp we make proactive quarterly calls to our clients.  It is our way of making sure they are as satisfied as possible with their medical billing software or EHR software and our support of those products.

Reviewing some of the responses from clients I've seen a few asking for refresher courses on the Practice Management Systems.   Under the Software Maintenance contract that each client has with Bradford-Scott it gives them access to unlimited Phone Support but also an opportunity to retake any or all training classes.  They can take those classes as many times at they want.   This could be for new users to learn the system or for experienced users who just want a bit of a refresher course to use their medical claims software better.

Class schedules are published quarterly and you can always ask for an updated copy at any time!

Each week a group of representatives from Bradford-Scott sit down in a conference call with representatives from Sage Healthcare Division. These calls started in 2003 and remain strong today. Topics discussed from week to week include Practice Management System support questions, provider enrollment for our Electronic Billing Software, and Clearinghouse questions for Emdeon Business Services. Bradford-Scott has been instrumental in establishing this working relationship to help provide our clients with the highest level in Customer Service. By having knowledgeable contacts deep within the Sage and Emdeon organizations that are willing to come to the table each week and work on issues together, we have experienced quick turn around time with clearinghouse/payer issues and software enhancement requests. We are then able to quickly relay this information back to our clients . This working relationship with our partners helps to keep the claims and statements moving smoothly out of your system and the payments flowing in!
