Continuing EMR Education

This week at Bradford-Scott we have a Technical Trainer in to provide additional training on our EMR System and Medical Software System. There are some things we already know and some things that are new to us. It is important to continuously educate yourself on your systems for there might be something that makes your job easier!
Continuing Education is important to our Electronic Health Records, and Medical Software System clients. Bradford-Scott Data Corp provides free classes that can either be attended in a webinar or classroom environment. These classes cover different areas of the software systems. This allows you to take courses on areas that are most needed.
I have a Medical Software client that attends a basic overall training session once a year. This person leaves the class with something new each time. She says that she will continue to come once a year because she has found so many shortcuts that make her day to day tasks easier.
Utilize Your EMR System

So now that you have purchased an Electronic Medical Records System you are having problems adjusting to documenting your patients visit on your new system. You may be feeling like you are so focused on your computer that you are not even looking at your patient. You may feel like it takes you three times as long to do the same amount of patient charting. Here are a few tips to make EMR Adoption an easier process.
- Start the visit without your computer to maintain that patient doctor relationship
- Face the patient with the laptop or tablet on your lap. This way it is easier to look at the patient from time to time and try to keep that patient relationship strong.
- Practice, Practice, Practice...before going live on the EMR system take a few visits from each day and enter into the system. It may be extra time added to your work day but will make you feel more confident when the patient is in front of you.
- Only choose certain visits and start slow. Do not plan on documenting a whole days worth of patients visits your first day, most likely you will get frustrated and quit using it all together.
- Do not get hung up on one particular finding that you want to document and cannot find. Write it down and then ask your support team later.
Tonight we're going to our first Symphony on the Prairie. It's Michael Jackson night, so not only do we get to see a fantastic orchestra playing MJ songs, there is also a professional MJ impersonator singing. My kids are both violin players and my son is a big MJ fan, so it should be a good time. Oh, and did I mention you can bring beverages in?A successful symphony relies on many individual people and instruments working together. Bradford-Scott Data Corporation has been successful for similar reasons. Our Intergy, Intergy EHR, MENDS, and Navigator customers' success depends on us working together. As a value added reseller, we have team members that provide training, consulting, programming, system administration, network administration, hardware support, and hardware repair.
Bradford-Scott's best-in-class service and support keeps getting better. We work together to orchestrate the finest solutions for our customers. To find out how Bradford-Scott can provide you with Intergy electronic health records and practice management, contact us through this blog.
RIP Michael.

E-RX, E-prescribing, Electronic Prescriptions
Is your practice using an electronic script writing software? If not you might want to invest in one. This is not only a more secure way to submit patient medications to the pharmacy, but there is also a kickback offered to all medical offices that are using a true e-script medical software product from Medicare. This functionality will also be required for your practice to qualify for meaningful use and receive government stimulus money.Bradford-Scott's EMR system allows the doctor, or medical practice, to send and answer prescription requests directly from within the Electronic Medical Records Software. This causes little disruption to the doctors day as he can quickly answer the request while seeing patients. The newest feature of the E-scripting software will allow the doctor to submit controlled substances electronically. This will also save the doctor time in writing out prescriptions.
With the combination of the a more secure way to submit patient prescriptions, and the ease of use to the doctor and clinical staff, eprescribing is a valuable asset to any medical facility.

PhoneTree Practice Management Automated Reminder System
Let's face it. In order for a doctor's office to maximize its efficiency, patients have to show up on-time for their appointments. Traditionally, an office would pay an employee to manually call patients, reminding them of their upcoming appointments. Now, however, with Intergy Practice Management (PM), Electronic Medical Records (EMR), or Enterprise Medical Software systems, Bradford-Scott Data Corporation offers the PhoneTree Patient messaging system which can do this calling automatically. In the PhoneTree patient messaging system, an office not only has an automatic way to reduce no-shows, but also has a pain-free collection module. Quite simply, the PhoneTree messaging system pays for itself in the time that employees don't have to spend doing mundane tasks, usually in just a matter of months.
For more information about PhoneTree other Indiana Enterprise Medical Software Solutions, please call Mike Bessignano at Bradford-Scott Data Corporation @ 317-713-2065.
E-Prescribe - is it right for you?
The push is on for electronic health records (EHR) and a large component of that is e-prescribing.If you haven't gotten on the bandwagon, consider these benefits to your practice:
- Quickly create/view any prescription
- Improved patient care - decreased errors and pharmacy calls
- DUR checks
- Formularies for insurance plans
- Electronic requests from the pharmacy for refills
Additionally, in June of this year, a new law allowing electronic prescriptions for controlled substances - class II through V was approved by the DEA. This was done in order to provide a greater use of e-prescribing than was currently available.
Bradford-Scott Medical Corporation offers a web based application as well as our Intergy EHR software which includes e-prescribing as one of its' features.

Meaningful Use Regulations Passed!
It's official ! The final rules for the Meaningful Use regulations were passed on July 13, 2010. This is the final piece to tie in all the elements of the framework for the ARRA Regulations. This long awaited legislation defines the minimum requirements for providers to qualify for the ARRA incentives through the the use of their Electronic Health Records software in one rule. A separate final rule defines the standards and certification requirements for EHR technology so that physicians and hospitals can be assured that the technology they purchase can perform the required functions.
Key changes in the final CMS rule include:
Greater flexibility in meeting requirements: The proposed rule had 25 requirements for Phase I and no credit for partial completion. The final rule divides the objectives into a "core group" of required objectives and a "menu set" of procedures from which providers can select any five for 2011-2012.Hospital based eligible provider definition: this definition was added to the eligible provider as "one who performs substantially all of his or her services in an inpatient hospital setting or emergency room only, which conforms to the Continuing Extension Act of 2010".
For more information regarding the new rules and the requirements , click on this link to the CMS EHR Incentive site.

Updated rule on referring physicians on your claims
CEDI Ordering/Referring Provider Edits
The Centers for Medicare & Medicaid Services (CMS) has updated the “OrderingReferringReport” file containing the National Provider Identifier (NPI) and the name (last name, first name) of all physicians and nonphysician practitioners who are of a type/specialty that is eligible to order and refer in the Medicare Program and who have current enrollment records in Medicare (i.e., they have enrollment records in Provider Enrollment Chain & Ownership System (PECOS) that contain an NPI).
This file is downloadable from the Medicare provider/supplier enrollment Web site www.cms.hhs.gov/MedicareProviderSupEnroll, click on “OrderingReferringReport” on the left-hand side.
Note: The “Ordering Referring Report” is a large .pdf file (20000 KB). Due to the large size, CEDI suggests you right click and select “Save as” before attempting to open this file.
The Common Electronic Data Interchange (CEDI) receives PECOS updates Monday through Saturday and some holidays with physicians and nonphysician practitioners who are of a type/specialty that is eligible to order and refer in the Medicare program. These updates are incorporated by CEDI to be used to perform the PECOS edits.
In order to determine if the ordering and/or referring provider submitted on the claim to CEDI matches the records with PECOS, CEDI performs the following steps:
1. CEDI first checks if the Ordering/Referring Provider's NPI submitted on the claim is on the file CEDI has received from PECOS.
- If not, the CEDI edit will set.
2. If the NPI matches the PECOS file, CEDI then verifies the Ordering/Referring Provider's name as submitted on the claim matches the name associated with the NPI.
- CEDI compares the first four characters of the last name to the Ordering/Referring Provider's name received from PECOS
- CEDI compares the first letter of the first name to the Ordering/Referring Provider's name received from PECOS
- If the first or last name does not match, the CEDI edit will set.
Suppliers should:
- Verify with the provider who ordered or referred services that they are enrolled in PECOS.
- Submit the Ordering/Referring Provider's name as enrolled with PECOS.
- Do include spaces in last names. For example, if the ordering/referring provider’s last name is “A BCDE” do not submit the last name as “ABCDE”
- Do include special characters in last names. For example, if the ordering/referring provider’s last name is “A-BCDE” or “A’BCDE” do not submit the last name as “ABCDE”
- Do not use nicknames (“BOB” for “ROBERT”)
- Do not use credentials (“DR JOHN” for “JOHN”)
- Submit the name in upper case letters. Lower case letters will not find a match on the PECOS file as the PECOS file only contains upper case.
- Submit the Type 1 (individual physician’s) NPI and name of the Ordering/Referring Provider. If the Type II (physician’s group) NPI and name is submitted, a match will not be found on the PECOS file.
When the CEDI front end edits begin rejecting claims, suppliers will be able to correct and resubmit the claims once the physician or nonphysician practitioner has updated their enrollment in PECOS. The PECOS edits are based on date of receipt and not date of service.

Increased efficiency in your office - with instant access to charts, electronic prescriptions and lab orders as well as results, just to name a few. Once you have implemented an EMR system, you will also notice that patient care has improved as well.
An added bonus to implementing an EMR system now, is the ARRA Regulations that provide Medicare or Medicaid incentive money for implementing an EMR and meeting the meaningful use criteria. Early EMR adoption can also increase the amount of incentive available per physician.
Are you ready to make a change, but not sure where to start? Let our Bradford-Scott Data Corporation medical sales consultants discuss the ARRA Rules and the SAGE Intergy EMR product with you and start you on your way.

Lab Portal Services with EHR
How much time do you spend in your office handling lab information? Are you always scrambling to check on the results - pulling the chart and searching through it for the correct test? Do you have to go to multiple websites to get the information?Something to consider when you are purchasing your electronic medical record system is whether or not the software has an interface with laboratories. One of the recommended requirements for Phase I of the ARRA Meaningful Use Rule requires you to incorporate clinical lab-test results into structured data into EHR. Entering the results manually would be a huge burden on the practice.
Lab Portal Services is one of many great features of Sage Intergy EHR. This allows you to
- create and submit lab orders electronically
- print the requisition
- receive the results electronically
- system automatically post results to the patient chart and sends a task for the doctor to review them.
- view test results in a flowsheet or graph format
If you are interested in using Lab Portal Services with SAGE Intergy EHR, contact our medical consultant team at Bradford-Scott Data Corporation. EHR Systems Implementation
Bradfordscott has 27 years of experience in the Medical Software industry and devotes a lot of time to perfecting the implementation process. Here is an example of the phases we use when implementing a New EHR System.
Planning PhaseA trained EHR implementation specialist will come to your office and discuss your EHR goals and preform a work flow analysis. Next we will discuss the phased implementation plan that we currently use as a base. An in-house champion or super user will be assigned as a main point of contact between your office and our staff. We will then take the information we have gathered and customize a training plan that will fit your office. The training plan is discussed in full and then a road map with dates is created.
Training Phase
The road map will consist of a list of training classes, system setup, decision making, and practice, practice, practice. Our Training is a collection of different methods to be able train all styles of learning. We will provide classroom training at our office for those who learn best in a classroom environment. There are also CBT's or computer based training that cover the basics of the system through an interactive module on the Internet. We also have webinars which is a combination of online training with a live trainer over the phone. A combination of training is used to teach all staff the system.
Go-Live Phase

This phase is when we put the planning and training to use. Bradfordscott sends an implementation specialist that you have been working with through the planning and the training phases to your site. All staff uses the system with help there to answer any questions as they occur.
There is then a time period in which your office will use as their learning curve. Our support team and your implementation specialist is available to you to answer any questions and help with any issue that occur. This will ensure that your office is comfortable and confident with their new system.
A Force guide to EMR
I was reading one of the Star Wars novels last night (yes, sci-fi geek here) and realized that the Force aspect could easily be applied to purchasing and implementing an EMR system. Strange how the mind works, isn't it? Since I work for a software vendor, maybe not so strange!
Finding the right vendor for your new electronic medical record software(EMR) is often overlooked when purchasing the software.
Remember that they will be your ally and support for many years to come. Take the time to ask questions and references of existing clients.
Come my young padawan, and learn the ways of EMR software!

Bradford-Scott Data Corporation is proud of its' longstanding tradition of service and support.
We offer a combination of classroom, webinar and onsite visits as part of our implementation process.
Our medical trainers will be there to help guide you as you take your first steps into a new EMR world as well as once your are live.
Beware the Dark Side!
Implementing an EMR system takes time and commitment from everyone in the office!
There will always be staff that struggle with change and need encouragement.
Many EMR vendors paint a rosy picture how great EMR will be without explaining the implementation process or the time constraints/expectations of the practice. Don't be afraid to ask questions.
Talk to one of our medical consultants about our SAGE Intergy EMR and the EMR Stimulus opportunities.
May the EMR Force be with you!
